If you have a K-State at
Salina email account ( your-eID@sal.ksu.edu
), it will remain active
for 30 days after your departure, during which time you can access it
via webmail. See the webmail instructions at
http://www.sal.ksu.edu/infosys/Using%20WebMail.pdf.
As an alternative to webmail, you can setup an email client software on
your home computer to access your Salina email account. See
the instructions at http://www.salina.k-state.edu/infosys/imap.html.
Before leaving, employees need to work with their supervisor to
transfer official correspondence and data files from their email, and
from their computer as described in the K-State PPM. This is
not the responsibility of the Information Systems department – IS can
advise and answer questions to assist with this process, but they do
not know which files need to be saved or where the files are.

The references to email accounts apply to your K-State
central email
system ( your-eID@ksu.edu
).
The
following information is provided to all students, faculty, and staff
permanently leaving Kansas State University, including those
who are graduating, transferring to another school, or otherwise
terminating their affiliation with the university.
Before you
leave. We suggest you do the
following things before you leave K-State:
- Forward your e-mail.
Sign in at eid.k-state.edu
to set up e-mail forwarding. Any messages sent to your K-State e-mail
address after that point will be redirected to the forwarding address
you specify. Any subsequent e-mail you receive that is intended for
current university personnel or functions should be redirected to the
appropriate university office or personnel.
- Unsubscribe from mailing lists.
If you don't unsubscribe, messages from the lists you subscribe to will
be forwarded to you along with all your other e-mail (provided you turn
on e-mail forwarding), but you may not be able to post to the lists
from your new e-mail address. See How can I unsubscribe from mailing

- Copy any files you are entitled
to keep. In addition to files on your office workstation
and the central Unix system (including personal webpage files), don't
forget to copy any e-mail messages or folders you are entitled to keep,
such as personal e-mail. Also see: What happens if I leave and don't

- Remove software received under a
Kansas State University site license or volume purchase agreement.
This includes K-State's antivirus software. See Software received from

- If you live in a residence hall,
point your computer back to the Microsoft Windows Update Service.

FAQs about leaving K-State
1) eID and password
Can I keep my eID when I leave K-State?
As long as your K-State eID is active, you can
keep it as long as you like - with some limitations:
- You will lose access to resources that are
reserved for current students and employees, including:
- E-mail (and WebMail),
K-State Online, your files on the central Unix system - including your
personal webpage files, and any employment information. If you want
that data, you will have to copy it. See What happens if I leave and
don't copy my files?
- You will still be able to:
- Access your eProfile page for setting e-mail
forwarding and password changing.
- Access KATS
- Forward your e-mail to another valid e-mail
address.
- Your eID will be released and become available
for someone else to choose after five years of inactivity.
What would cause my eID to become inactive?
Your eID will be considered inactive if:
- E-mail forwarding has NOT been turned on AND
your password has not been changed for five years.
- If you choose not to forward your e-mail,
you need to change your password at least once in five years.
- As long as your e-mail is being forwarded
to a valid e-mail address, your eID is considered active, whether or
not you changed your password.
- Forwarded e-mail bounces back to sender.
- If your forwarding e-mail address becomes
invalid (because the forwarding e-mail address is no longer used or
because it is full, for example), and e-mail bounces back to the
sender, the forwarding will be turned off your K-State e-mail account.
When this happens, your eID will be considered inactive and you will
have five years to set a valid forwarding address before it is released.

Will I still need to change my password twice a year?
It depends. In order to access KATS or your
eProfile page, you need a valid password. Once the password change
deadline has passed each semester, if you haven't changed your
password, you won't be able to access these things until you do. If
e-mail forwarding has been turned on and your forwarded e-mail does not
bounce back, you don't need to change your password - your eID will
continue to be active as long as these things hold true. You do need to
change the password within a 5-year period, once the eID becomes
inactive, to keep your eID.

What happens if I leave and don't copy my files?
Once you are no longer enrolled at, employed
by, or associated with K-State, Computing and Telecommunications
Services will notify you via your K-State e-mail address that access to
your e-mail and other resources is going to be removed. You then have
two weeks to make any copies needed.
Once your access has been removed, there is a fee for getting access to
copy any data you forgot. The fee is $50 for one week of access.
Once your
affiliation with K-State is terminated, after 180 days your files,
personal webpage, and e-mail associated with your eID will be destroyed
and removed from the central backup systems.

E-mail and mailing lists
If I change my personal e-mail address after setting up forwarding, how
can I change my forwarding address after I leave K-State?
You will continue to have access to your
eProfile page for setting up e-mail forwarding and changing your
password (as long as your eID has not been inactive for five years).
You can change the e-mail forwarding at anytime from eid.k-state.edu.
How long can I keep my e-mail address after I leave K-State?
There are a number of ways you can deal with
the K-State lists you subscribed to:
- You can unsubscribe from
mailing lists you no longer wish to be part of by sending e-mail to
listserv@listserv.ksu.edu with this command format in the message:
UNSUB listname - where "listname" is the list's ID. For example: UNSUB
HIST251B. When you unsubscribe from a list, LISTSERV will send a
notification message informing you that you've been removed.
- If you go to listserv.ksu.edu/web
and click the Subscribers Corner link, you can view all the K-State
lists you subscribe to. From here you can unsubscribe to any and/or all
lists.

What should I do about the mailing lists I own?
You should e-mail listhelp@k-state.edu
with the names of the lists you own and let them know you are leaving.
They will contact the other list members to see if anyone would like to
take it over. If no one does, they will delete it.

Software received from K-State
Can I continue to use software that I have received from being part of
K-State?
When you leave K-State, you must remove any
software that you have received under a Kansas State
University site license or volume purchase agreement. The use of this
software after you leave K-State is a violation of our software license
agreement. This includes, but is not limited to, K-State antivirus
software and all course-related software you may have received through
your department.
How do I remove K-State's antivirus software?
When you leave K-State officially you are
required to remove antivirus software. At present there are three ways
to do this:
- Use the operating system’s
or the software’s removal tool
- Call the IT Help Desk and
have them establish a Linktivity session by connecting with your
computer.
- Call the IT Help Desk and
have them send you a file that will remove the software.

Windows updates
For students who have been living in the
residence halls, when leaving K-State you will want to remove the
connection to the K-State Update Service and instead point to the
Microsoft Update Service. To do this:
- Get the SUS
Removal file and save it to your computer.
- Double-click the
SUSRemoval.exe file. This will reset your computer to point to the
Microsoft Service.

Internet service providers
Only current faculty, staff, emeritus faculty,
and enrolled students may use the Dial-In service provided by K-State.
If you want to have an Internet connection after you leave K-State, you
will need to locate an Internet Service Provider in your area.
